Under the direct supervision and management of the Vice Provost for Academic Systems and Services, and under the guidance of the University Registrar, the Senior Systems Manager, Enrollment Management Services (EM Services) provides the Office of the Registrar with overall technology leadership and support as well as leads the Systems and Operations team within EM Services, a shared services organization. The Senior Systems Manager has a strong functional understanding of the work done by the Office of the Registrar, the lifecycle of the student from prospect through graduation, as well as an understanding of systems that support this functionality. 1. Technology Management for the Office of the Registrar
* Provide overall leadership and administration with respect to technology for the Office of the Registrar; systems include, but are not limited to: Ellucian Banner and DegreeWorks, CourseLeaf, CollegeNet 25Live, Argos, National Student Clearinghouse, etc.
* Identify and recommend technology solutions; lead software implementations and enhancements for the Office of the Registrar; work with stakeholders to define and align needs and requirements with system functionality; work closely with stakeholders to ensure University needs and requirements are being met; provide documentation and training on business practices
* Identify areas of improvement utilizing expertise to streamline processes and prioritize implementations; remain apprised of technology trends within higher education
* Serve as high-level technical support for the Office of the RegistrarRAS staff and the University community; solve complex technical problems and provide specialized technical support
* Analyze technological needs for the implementation of policies pertaining to student records; research solutions and provide input to relevant committees
2. Oversees and manages the Systems and Operations team in Enrollment Management Services
* Manages a team of Systems Specialists who are responsible for supporting technology for Undergraduate Admissions and Financial Aid, Graduate Admissions, and the Office of the Provost; systems include but are not limited to: Salesforce/EnrollmentRx, Pardot, Ellucian Banner, Lyterati, etc.
* As a member of the leadership team within Academic Systems and Services, the Senior Systems Manager communicates and collaborates with the University Registrar, the Senior Data Systems Specialist, and the Enrollment Management Services Project Manager for every day support as well as develop short and long-range goals, aligned with the University strategic plan, to meet the needs of the offices and key stakeholders
* Work closely with counterparts in the other Enrollment Management offices, specifically the Office of Financial Aid and the Bursar’s Office
* Participate in scheduled meetings with stakeholders from Library and Technology Services and Enrollment Management systems managers to keep open the lines of communication and collaboration
3. Student Records
* Data Manager within Registration & Academic Services, with responsibilities for maintaining security and integrity of student records
* In conjunction with the University Registrar, has responsibility for proper maintenance, security, storage, and retention of student data
* Resolve data access or definition issues involving data elements which exist in multiple data subsets across stems; collaborate with appropriate University offices to develop innovative solutions to complex problems addressing needs with limited University resources and personnel
* Ensure University compliance with FERPA with regards to data access and distribution
* Establish authorization procedures to facilitate appropriate data access as defined by campus data policy and ensure data security for data within the student area; identify the access type (public, internal, or internal and sensitive) for each data element within the Student data subsets
* Work with assigned person in the Office of the Registrar to review and approve requests for data access by other University constituents in accordance with the campus data policy; regularly audit user access and make necessary adjustments to comply with institutional policy
4. Collaborate and work closely with University constituents and 3rd parties to accomplish daily work as well as short term and long term projects
* Participate as needed in Library and Technical Services meetings
* Represent Enrollment Management Services to internal and external constituents that impact technology related functions
* Participate at technology related conferences and other types of training and professional development. Conferences may include: Ellucian Live, PA Banner User Group, EnrollmentRx Conference, Othot Conferences, etc.
* Monitor emerging technology trends as it pertains to data analytical technology solutions to improve services and data provided to constituents
* Investigate and evaluate possible solutions by working with colleagues on campus as well as technical vendors and colleagues at peer institutions
* Assist in the development and offering of Enrollment Management Week training for academic affairs units
