Responsible for analyzing, organizing, and coordinating processes, procedures, and workflow to ensure efficiency. Provides a wide variety of administrative, academic, and/or staff and student support services to an academic department(s). Works under general supervision with duties and tasks reflecting a moderate level of complexity. 1. Documentation and communications
*Assists with the preparation and production of complex documentation, such as class materials, grant proposals and partnership agreements
*Updates work instructions, procedures and Departmental manuals
*Assists in the preparation and control of records, statistics and reports regarding Department operations; generates reports as specified
*Sends complex and/or high-profile mass mailings
*Generates graphs and charts for various projects; designs presentations using established content
*Creates college, newsletters, announcements and other communications
*Monitors social media: responds to routine questions or posting prearranged content
*Updates/maintains website
2. Customer Service
*Responds to varied and often complex inquiries requiring a broad understanding of University and college programs, services, policies, and procedures
*Assists with and resolves non-routine problems in a thorough and timely manner; uses discretion guided by policies and precedents; knows who to go to regarding non-routine issues
*Assists students/parents in scheduling appointments with faculty and/or understanding academic requirements, processes and procedures
3. Meeting and events coordination
*Schedules and coordinates appointments, visits and/or meetings
*Plans and coordinates routine meetings and events
*Arrange conferences, lectures, receptions and other special events
*Assist with student programming events
4. Budgetary and Financial
*Computes, classifies, records, and verifies data for college accounting records; identifies discrepancies
*Tracks and reconciles budget accounts, transactions, and financial statements
*Assists in budget preparation and control activities
*Works within an established budget; may select vendors and utilize signature and purchasing authorization; responsible for staying within budget and following budgetary guidelines
5. Equipment, Facilities, and Technical Support
*Order supplies and arrange for equipment repairs/service
*May provide general technical support for department
*Coordinate the scheduling/reservation of college conference rooms or other spaces
6. Provide guidance to office personnel
*May guide or check the work of student workers, wage employees, and/or volunteers
*May assist with recruitment and selection of student workers or volunteers
*May orient/train new staff or offer recommendations/input for hiring, performance reviews, and other employment decisions
*Trains others regarding policies and procedures

High school diploma or the equivalent combination of education and experience; Associates Degree preferred
Three to five years related work experience
Must have an entrepreneurial mindset; ability to multi-task
Excellent organizational skills, time management and attention to detail
Solid analytical, decision making and problem solving skills
Flexible and responsive, with the ability to juggle competing responsibilities in a fast-paced environment
