Responsibilities:
This position is responsible to the Dean of Academic, Technical, and Workforce Studies for coordinating various technical and administrative functions of the division. Working with the dean and division directors along with academic, technical, and workforce faculty, this position is responsible for multiple tasks involving numerous functions and personnel simultaneously, substantial amounts of customer service, and cultivating an environment of hope that creates opportunities. This position uses independent judgment within established guidelines, and may supervise student assistant(s). The below list is only a summary of the typical functions of the job, not exhaustive or comprehensive of all possible responsibilities, tasks, and duties of the position.
1. Responsible for customer service; serves as the student-liaison for the Dean’s office, and academic programs (AAT, AA, and AS).2. Coordinates and disseminates academic and workforce programs’ information, application packets, and events.3. Receives, organizes, and files information related to students, faculty, courses, events, and programs related to the college and/or community.4. Maintains confidential filing system, correspondence, reports, meeting minutes, degree plans, rosters, affidavits, course syllabi, data forms, certification/board results, and additional information.5. Supports Division/Program Directors with maintenance of web page, post documents as needed and required by the College and agencies.6. Maintains files of current faculty, classroom, and lab/clinical schedules for programs.7. Assist the division’s personnel and purchasing coordinator with solicitation of bids with vendors, contractors, and professionals who provide capital equipment and supplies.8. Responsible for creating requisition and inventory of supplies; maintaining ledger of expenditures for the Health Professions programs. Includes data entry on the Financial Records System (FRS) and reporting account status to supervisor(s).9. Responsible for textbook requests to bookstore vendor for student purchase and desk copy requests to publishers for division/program directors and faculty. Also receives, distributes, and returns preview copies of books, videos, software, equipment, etc.10. Receives, processes, and supports the Dean’s, directors’ and faculties’ “Request to Travel” and “Travel Voucher” forms, coordinating with the faculty and business office protocolsGenerates, assembles, and circulates for signature, all paperwork associated with hiring of personnel ensuring paperwork for part-time faculty/staff is prepared for submission to Human Resources:1. Required documents for payroll.2. Required document(s) for credentialing11. Maintains documentation of vacation/sick leave forms for program directors and faculty:A. F3.6 & F3.6A – Request for Overtime and LeaveB. Maintains copies of Sick leave/Comptime reports12. Documents payroll for student worker(s):A. Completes hiring paperworkB. Prepares time card.13. Obtains and distributes mail for the division.
14. Perform other related duties as assigned.
Qualifications:
Associate or Bachelor’s degree preferred with experience at the secondary or postsecondary level a plus.
One year of directly related work experience is required, including standard office practices and usage of general office equipment and software. Experience in office practices and administration procedures including some supervisory responsibility. Should have one year experience in standard office practices and usage of general office equipment.
Good written and oral communication skills. Word processing skills. Type a minimum of 50 wpm. Database management including data entry and mail merge. Knowledge of business math, bookkeeping, and English. Ability to establish and maintain effective working relationships with students, faculty, and staff as well as the general public. Must be able to manage multiple tasks simultaneously. Ability to perform routine office.
Requires constant sitting, talking, and listening, word processing and typing, sorting and filing. Requires frequent standing, stooping, bending, operating various office equipment, walking, lifting, and carrying objects up to 25 pounds.
This position is security-sensitive and thereby subject to the provisions of the Texas Education Code §51.215.
