Program Assistant HV-CS-8823Office of Human Resources In order to be considered an applicant for this position you must meet the minimum qualifications as stated in this announcement. HVCC does not sponsor Visas. Applicants must currently hold an unrestricted employment authorization to work in the United States and appointment will be contingent upon completion of a background check. Albany, Columbia, Rensselaer, Saratoga or Washington County residency is required. Applicants are being accepted from current Hudson Valley Community College or the Capital District Educational Opportunity Center Employees This is a provisional appointment. Selected candidate will need to sit, pass and be eligible on the next available Rensselaer County Civil Service Exam for Program Assistant in order to be considered for permanent appointment. Minimum Qualifications: Associate’s degree from a regionally accredited or New York State accredited college (OR) High School Diploma or possession of a High School Equivalency Diploma and two (2) years of clerical experience in a position involving public contact or customer service functions in a non-retail setting (OR) An equivalent combination of training and experience as defined by the limits above. Nature and Scope of Duties:The Program Assistant reports to the Director of Human Resources or their designee and performs the following duties: Provides clerical support to the Office of Human Resources including but not limited to open, review and distribution of mail and correspondence, answering the phone, replying to emails, and the ordering and inventory of office supplies and equipmentEnters, reviews and processes time personnel data into HR systems including but not limited to KRONOS, Ellucian, BizLibrary and TrakStar. • Assists in the maintenance of personnel record systems, both electronic and hard copy, for Department Chairpersons, Faculty, Non-Teaching Professionals, classified staff and the Capital District Educational Opportunity Center including but not limited to performance evaluations.• Assists the Director with responses to oral and written communications, both internal and external, relating to legal, Collective Bargaining and personnel-related issues.• Researches and resolves problems resulting from inaccurate and/or incomplete information on entry forms submitted by employees, supervisors and outside agencies.• Assists with College training needs, including new employee orientation, onboarding and compliance training.• Assists with the hiring and assignment of temporary services workers, including but not limited to invoicing, payment and time and attendance.• Performs other related duties as may be assigned.
