In order to be considered an applicant for this position you must meet the minimum qualifications as stated in this announcement. Applicants must be currently employed by either HVCC or the Capital District EOC.
MINIMUM QUALIFICATIONS: Master’s Degree in Sports Administration, Business Administration, Education, Communications, Counseling, or sports-related discipline; experience working with media or publications, and excellent writing, communication and interpersonal skills. Seven (7) years of experience in the field of athletics communications and administration. Demonstrated ability to meet the communication demands of a collegiate athletics department. A deep appreciation for the collegiate athletic experience and its role in a college environment; a valid driver’s license and ability to travel as well as proficiency in Microsoft Office required. Non-traditional work schedule (nights & weekends); a willingness and ability to work outside and handle relevant equipment for such purposes also required.
Familiarity with current issues in intercollegiate athletics in higher education; experience with public relations, media relations and marketing/advertising, particularly in the Capital Region, and a strong understanding of technology and the role it plays in athletics communications and marketing/advertising. Excellent written and oral communication skills, excellent organizational skills, experience with community and media relations and marketing, enthusiasm and ability to represent the College in an articulate fashion in all athletics media, communications and student-athlete development and eligibility standards.
DUTIES AND/OR RESPONSIBILITIES: The Associate Director of Athletics
reports to the Director of Athletics and performs the following duties:
1) Manages the departments external and internal communications and marketing operations and strategic planning. Responsibilities includes public and media relations, internal and external communications, marketing and advertising, publications, website and electronic communications.
2) Works closely with the Director of Athletics on development of strategies for the department and program promotion in the areas of public relations, advertising, marketing, public affairs and media relations.
3) Works closely with the Director of Athletics in the preparation of annual budget, reviews, on a regular basis, actual expenditures against the budget, and makes recommendations to the Director of Athletics, as appropriate.
4) Oversees all aspects of the department of athletics website and digital communications strategy and development (including content creation, web, social media, advertising strategic plans)
5) Serves as primary liaison for third-party systems.
6) Maintains records and statistical files and utilizes statistical software during athletic events.
7) Promotes student-athletes and teams for postseason athletic and academic awards.
8) Oversees the Assistant Director of Athletics, who publish approved content on official athletics website and social media accounts; also works in partnership with colleagues in the Office of Communications and Marketing, Graphics, ITS, Student Services and various academic and non-academic departments as the primary liaison to the department of athletics. Ensures athletics website content and digital footprint is current.
9) Provides leadership in communications and marketing strategies to support the admissions, recruitment, student retention and alumni relations/fundraising efforts for all NJCAA intercollegiate programs. (Not limited to recruiting publications, development and managing overall communications and marketing strategies of the programs and their events)
10) Creates and maintains athletics style guidelines in collaboration with the Office of Communications and Marketing and ensures that all publications adhere to those guidelines.
11) Acts as liaison with the media on behalf of the athletics department. Coordinates publicity for events and positive stories on student-athletes and all NJCAA programs.
12) Prepares communications for the Director of Athletics, including talking points, remarks, PowerPoint presentations, the annual report, assessment & unit planning and other department publications.
13) Interfaces with College departments to identify opportunities to assist in the advising, development and retention of the student-athletes.
14) Maintains relationships with academic departments and student service offices to offer support and programming to improve student-athlete recruitment, retention, persistence and graduation.
15) Support student-athletes in navigating academic success plans and the increased demands of their course work, personal and athletic responsibilities.
16) Directs students to all campus support services and leads their connection and use of college support services in a friendly, caring, sensitive and non-judgmental approach.
17) Collaborates with Student Development offices to create and implement comprehensive student-athlete development and support programming to foster student-athlete success and strengthen academic performance.
18) Maintains relationships with academic and non-academic departments and the campus community and serve as a resource when dealing with a student-athlete’s eligibility and academic requirements.
19) Collaborate with head coaches to develop and implement strategies, policies and protocols that promote the academic success and welfare of student-athletes.
20) Lead special projects aimed to enhance the student-athlete experience
21) Refer student-athletes to other institutional resources and services as appropriate.
22) Represents the department of athletics at college events, promoting athletic opportunities and the College during the work day and on occasion during the evening and weekend hours.
23) Serves as Internal Athletics liaison to other departments within the HVCC campus (Public Safety, Facilities, Health Services and Wellness Center, Admissions, Financial Aid, etc.)
24) Works closely with the Graphics Department, College Photographer and campus videography team to coordinate photography and publication needs of the department of athletics.
25) Represents the Athletics Department at home and away games as warranted in the role of home game administrator.
26) Ensures adherence to all policies and procedures established by the College, the Athletic Department and the NJCAA and Region 3 governing bodies.
27) Coordinates on-campus and off-campus practice schedules and game and practice set-up for all intercollegiate programs.
28) Oversee equipment room operations with attention paid to inventory control and purchasing procedures as established by the College.
29) Works with the office of Physical Plant, keeping abreast of scheduled maintenance of all athletic facilities and Stadium as part of the protocol of facility maintenance in accordance to the day-to-day management and oversight of the athletic facilities for the athletic teams.
30) Acts as a key member of the Athletic Department’s risk management team and ability to assume responsibility for risk management.
31) Assures that all student-athletes participating on HVCC athletic teams are eligible pursuant to the policies of HVCC, and the Rules of Eligibility of the National Junior College Athletic Association.
32) Serves as primary department liaison for eligibility concerns for the student-athlete and the HVCC student services departments. Communicate relevant NJCAA compliance and eligibility requirements and act as a resource for the campus community and student-athletes and coaches.
33) Serves as primary sport administrator for selected programs to assist with scheduling, practice & games, eligibility and compliance.
34) Assists in program oversight to ensure adherence to individual sport budgets, scheduling and overall program compliance with the governing bodies, HVCC and the department of athletics.
35) Serves on search committees (chair) to hire qualified coaches and department staff.
36) Assists the Director of Athletics in supervising the athletics staff.
37) Trains and supervises student-worker staff
38) Work with the Assistant Director of Athletics and athletics staff on scheduling of game day workers to ensure effective game day administration.
39) Performs other duties as assigned.
Salary is commensurate with experience. This is a 12-month, Full-Time position with a salary of $65,000.
