General Responsibilities |
Performs clerical and administrative support for the Division of Workforce, Career, and Community Education Allied Health contracts and open enrollment programs. Assists supervisor(s) with course implementation and provides general support for the workforce development unit. Assists students in registering for and selecting classes. Handles a high volume of phone calls on a multi-line phone system. Provides telephone coverage, clerical support, mail processing, course evaluation processing, word processing, Colleague data entry, program reports, and serves as a back-up support to other workforce development programs as needed. Under general supervision, assists with instructor and vendor contracts, course file management, and new personnel document processing. Utilizes Colleague for invoicing and purchasing. Processes appropriate documents regarding new contractual and temporary/hourly adjunct and staff and processes contracts for payment. Responsible for checking multiple skills labs for instructional readiness, assisting with clinical placements, and scheduling student testing. |
Work Performed |
Acts as a point of contact for program information via phone, email and in person. Provides courteous and informed customer service for students by assisting with student registration, transfers, drops, and course information. Responds to student inquiries in a timely fashion. Responsible for providing information and requested materials in response to inquiries, community requests or as needed for marketing purposes. Assists students, instructors, and the general public answering questions regarding registration, transfers, refunds, certificates, course schedules, course requirements, policies and procedures, and directions to campus classrooms/buildings. Responsible for data entry into Colleague. Performs word processing and data entry assignments to include maintenance of various distribution lists and course and instructor information maintained in the database. Runs proofing reports to ensure the accuracy of course information and makes corrections as necessary. Maintains skills labs, orders supplies and maintains inventory. Prepares course packets, delivers instructor materials, and prepares class signage. Assists with the preparation of documents, including certification and accreditation renewal applications, contract agreements, and other correspondence. Receives, sorts, and processes instructor contracts attendance, grades and evaluations. Maintains electronic file systems; scans and organizes documents, including syllabi, attendance, gradebooks, and other course documents. Communicates with instructors to obtain and supply materials for classes. Assists with timely scheduling of student placements for clinical rotation and internships; processes clinical assignment agreements and related documents. Assists with course scheduling, marketing brochure copy preparation and proofreading. Prioritizes multiple project assignments, applies a high degree of accuracy and efficiency. Supports workforce development programs and assists division with special projects as assigned. Performs other duties as assigned. |

As a participating member of the Maryland Retirement and Pension System, HCC offers two retirement options: The Pension, which requires a 7% employee contribution and The ORP, a 403(b) with a 7.25% employer contribution only. Employees in positions that do not require a bachelor’s degree must participate in The Pension. Employees that possess a bachelor’s degree and hold professional positions that require a bachelor’s degree may choose to participate in either The Pension or The ORP. |
