Special Events Assistant
Full Time
8am – 5pm
After 6 months – open to discussing (not a guarantee) working from home 1-2 days/week
JOB SUMMARY:
Assists with coordination of fundraising and special events for the Development Office.
ESSENTIAL FUNCTIONS:
Assists with special events, including but not limited to Spring Fling, Plant Sale, Path of Remembrance, Labor Day Auction, Wine, Dine & Unwind, and Light Up a Life. Provides administrative support to event subcommittees.
Part of a team responsible for meeting special events revenue and expense targets. Responsible for cultivation and solicitation of event sponsors and auction item donors.
Ensures timely communication and response to inquiries from donor prospects, sponsors, individual donors, volunteers, and the community at large.
Tracks relevant donor, attendee and sponsor information related to special events in Raiser’s Edge. Assists with generating requested statistical data, budgets and reports related to special events, including detailed reports from Raiser’s Edge and Access database regarding event revenue and sponsorship progress. Responsible for maintaining actions and contact information in Raiser’s Edge for events, event attendees and sponsorship contacts as well as all communication with those entities.
Works with the Volunteer Services department to schedule and coordinate volunteers for events and activities. Communicates with and trains volunteers on all assigned activities.
Provides support for special fundraising initiatives of the organization as needed.
Provides office and phone coverage in the Development Office as needed.
QUALIFICATIONS:
Three years of recent experience in event planning required.
Experience in fundraising events is preferred.
Proficiency with Microsoft Office Suite is required.
Experience with Raiser’s Edge (customer relationship management database) is preferred.
Able to communicate verbally and in writing in the English language, to motivate and lead, and to work cooperatively with other staff and volunteers.
Able to operate general office equipment including; multi-line telephone system, fax machine, personal computer, copier, and calculator.
