We are seeking a dynamic project administrator ideally with CPG, Pharma or Retail company experience. Support-driven by nature with the ability to work independently &/or collaboratively. Support project teams, as this global multi-year highly regulated industries’ projects contain high complexity with a significant impact to the business. Operational background is a major plus; specifically working within the following disciplines: Clinical, Packaging, Regulatory, Quality, Operations, Accounting and Planning,

The project administrator is responsible for full lifecycle management of back office activities in an application portfolio. They will track Appropriation Requests, SOWs, Purchase Orders, Invoices, Accruals and assist with actuals, budget, and forecast reporting. Additional duties will include demand planning of minor and major enhancements plus the projects’ backlog in Jira. The role includes Resource Management and liaising with middle management in several cross functional departments. The administrator will support the project managers and VPs in financial and planning decisions. The responsibilities will include providing insight in process standardization, automation and streamlining for maximized efficiency of administrative activities.

Key Activities

• Seasoned IT PM administrator who can work independently or collaboratively
• Tracks and controls major project milestones, activities and resources across the portfolio
• Manages project SOWs, Purchase Orders, resource management, progress tracking, monitoring change control process, testing, documentation, training and on-time delivery within budget constraints
• Supervision of vendor partners and guidance to the project team
• Provides leadership with reports status updates via live presentations
• Works with cross-functional project teams with project managers and functional leads to coordinate back office administrative activities on projects
• Collaborative relationships across global IT and business organizations.
• Work closely with business sponsors, stakeholders and functional owners as needed to ensure well-defined business cases, charters and project plans
• Complete project documentation as per PMO best practices and methodology
• Excellent written and verbal communication
• SDLC Methodology – Agile / Scrum / Iterative Development

Good knowledge of analytics / detail oriented / innovative problem resolution

• Provides Project Financial Management, to:
• Ensure project funding processes are completed
• Manage project budget and changes
• Track and report team hours and expenses on a weekly basis
• Update project forecasts on a monthly basis
• Track and report on project burn rate

Job Type: Contract

Pay: $50.00 – $60.00 per hour
