Support Specialist for Accounting, Human Resources, and General Office
Overview
Responsible for support Gate Logic Security’s accounting, human resources, and general office functions. The Support Specialist (Acct., HR, Office) provides timely, organized, and accurate support so that that internal and external customer satisfaction, office efficiency, and program effectiveness is high. We employee about 15 employees and are in growth mode in a highly specialized niche within the construction industry with focuses on security/access control and gate system creation and maintenance.
· Direct Customer Care:
· First to answer phones. Phones should be answered immediately and never ring more than two times.
· Professionally field, thoroughly screen and handle calls. Accurately direct calls when necessary.
· Accounting, HR, and Operations Support for:
o Accounting:
-Accounts Receivable
-Payroll
-Accounts Payable
-Various other QuickBooks work
o Human Resources
o General Office Support
The Administrative Assistant performs these responsibilities in a manner, and at a speed, that fosters customer satisfaction, profitability and growth.
The Administrative Assistant also performs these responsibilities in a manner that promotes personal development and the development of the skills, abilities and knowledge of others.
The actions of the Administrative Assistant are to be consistent with the goals of Gate Logic Security and in support of its Mission, Values and Ethics.
Qualifications:
· Background Education:
– High School /GED is acceptable if candidate possesses work experience parallel to the responsibilities in the position. Associates Degree or higher in business, accounting, or related strongly preferred.
· Required:
– QuickBooks experience – at least 2 years. Certification preferred.
– Communicate effectively verbally, both one-on-one and in group settings
– Communicate effectively in writing using Microsoft Outlook, Word and other tools
– Communicate numeric based concepts effectively by organizing data and using Microsoft Excel
– Working knowledge of Windows-based workstations including settings, updating, etc.
– Use electronic filing effectively, with a focus on a reduction in paper usage.
– Working knowledge of Adobe Acrobat
– Learn QuickBooks Time and FieldEdge, if not currently known
– Field, with clarity and follow with efficiency, the instructions given by various staff members
– Organize, prioritize and complete tasks
– A bigger picture perspective that ties closely with a curiosity for how things work
– Ability to break projects down into step-by-step tasks
– Ability to identify potential processes and describe them in writing in a step-by-step manner
– Ask timely questions
– Provide accurate and timely follow-up
– Be present, dependable and reliable
– Build trust, confidence, and cooperation through respect, integrity, producing results, recognizing others, and positivity
