College of Medicine, Fort Pierce Regional Medical School Campus
Responsibilities
Provides direct support to the Regional Campus Dean with responsibility for the coordination and implementation of all finance, administrative, and program activities of the Fort Pierce Regional Campus. Assists with long range planning and the implementation of strategic initiatives and policies and procedures, ensuring consistency with the mission of the College of Medicine and compliance with internal and external requirements. Serves as the administrative liaison between the Regional Campus and all University, state, and federal departments and agencies. Stays apprised of changes in University and COM policies and procedures. Analyzes internal processes and recommends/implements procedures or policy changes to improve operation or services. Initiates or assists in the completion of required reporting for the college, University, and accrediting agencies. Advises dean and participates in programmatic development, faculty recruitment, and teaching partner negotiations.
Responsible for sound fiscal management to include budgetary input and monitoring, approval, and tracking of expenditure and allocations for staffing at the Regional Campus. Assures the validity of payroll charges on a weekly basis. Responsible for the proper maintenance of petty cash funds and the proper receipt and handling of cash. Assures that all financial and staffing processes are completed within established deadlines. Assures the collection and maintenance of required financial, administrative, and academic records and corresponding data. Partners with the College of Medicine Information Services unit to assure that all data requirements are met for institutional reporting. Initiates and supports fund-raising and development activities.
Serves as immediate supervisor for all Regional Campus staff and functions to include the areas of IT support, student affairs, academic support, and administrative/fiscal positions. Recruits, hires, and trains staff. Promotes an atmosphere of teamwork in accomplishing the mission of the Regional Campus to include the delivery of academic courses and faculty development.
Responsible for community relations and outreach activities within the community to include, but not limited to: serving as liaison with the local Community Board, support of community activities, and public speaking presentations and public relations through community hospitals. Organizes and oversees events held at the Regional Campus.
Responsible for ensuring that the Regional campus facility is secure and well maintained. Secures local contractors and vendors to service the remote location. Responsible for purchasing, maintenance and contractual obligations for office equipment and services at the Regional campus.
Qualifications
Bachelor’s degree and four years experience related to administrative services; or a high school diploma/equivalent and experience equal to eight years in the same. (Note: post-high school education may substitute for experience at the equivalent rate.)
