Responsibilities

This OPS position will be responsible for providing direct administrative support with daily management and coordination of activities for the Interdisciplinary Medical Sciences Division administrative office, including assisting with printing, faxing, and photocopying materials. This role will promote an atmosphere of teamwork in accomplishing the mission and goals of the IMS Division. Other duties will include:

• Assist Sr. Administrative Specialist in maintaining all files for students, staff, and faculty.
• Maintain and procure office supplies for the IMS administrative office.
• Assist Sr. Administrative Specialist with travel by making copies, scanning, or following up with travelers or vendors.
• Enter all financial transactions in budget spreadsheet to assist the Sr. Administrative Specialist with monitoring and maintaining budgets for foundation accounts relating to the IMS Division.
• Assist the Sr. Administrative Specialist with the distribution of materials during Orientation, graduation, and other events related to Bridge and Honors Medical Scholars.
• Attend staff meetings, trainings, and IMS Division meetings as directed by Sr. Administrative Specialist.
• Runs occasional errands in support of Division activities requiring the operation of a motor vehicle or using the College of Medicine vans.

Qualifications

High school diploma/equivalent.

• Ability to perform basic math calculations or handle financial transactions.
• Strong customer service skills and a professional demeanor.
• Effective written and verbal communication skills.
• Proficient in Microsoft Office (Word, Excel, Outlook).
• Familiar with office equipment like photocopiers and fax machines.
• Familiar with general office procedures, such as filing, record-keeping, and mail distribution.
• Valid Florida or Georgia driver’s license, or the ability to obtain prior to hire.

Preferred Qualifications

Associate’s degree or at least 2 years of experience in an office/clerical environment.

• Strong organizational skills.
• Experience with state funding and foundation funding.
• Experience in prioritizing tasks, meeting deadlines, and efficiently managing time to complete responsibilities.
• Experience with events.
