The Payroll & HR Coordinator is primarily responsible for providing administrative support for payroll pre- and post-processing procedures, recruitment activities such as new hire onboarding, benefit premium payments, and overall administrative support as needed.
DUTIES AND RESPONSIBILITIES
1. Complies with DOT and OSHA health, safety and environmental requirements and follows safety philosophy and procedures developed by the Company including: applicable environmental, health and safety rules, procedures, and accepted safe work practices, the use of appropriate personal protective equipment and safety systems, and the reporting of workplace hazards and injury or illness arising from workplace activities; observes the workplace to identify conditions or behaviors that should be corrected and takes appropriate action.
2. Assists Payroll, Compensation & HRIS Specialist with payroll administration including review of hourly and salaried timesheets for accuracy, computation of wage and overtime payments, calculating and recording of ongoing or one-time payroll earnings and deductions, pre-processing and post-processing review, validation and reporting requirements. Assists with the monitoring, auditing, and updating of information in the Human Resources Information System (HRIS) and employee timekeeping systems to ensure proper interface with benefits and payroll functions.
3. Serves as the backup for the Payroll, Compensation & HRIS Specialist for payroll administration functions.
4. Assists Talent Acquisition Consultant with planning and coordinating the new hire orientation and on-boarding including scheduling orientations with stakeholders, coordinating transportation for new hires, preparing new hire gifts and materials, and conducting new hire company tour.
5. Calculates benefit premium payments and prepares payment requests to vendors, insurance companies, and other benefit service providers.
6. Coordinates candidate Console Operator Basic Requirements Assessment (COBRA) testing including scheduling potential candidates and testing location, ensuring equipment is available and working, and being present during testing window.
7. Ensures that the Company has ample drug testing kits available, and orders additional drug testing kits as needed.
8. Assists with Pipeline Safety Management (PSMS) by scheduling and sending messages and contractor emails as part of the communication plan for internal stakeholder engagement.
9. Coordinates and prepares job fair information and giveaways.
10. Assists with researching and implementing STEM initiatives in support of the Company’s intern and job shadowing programs.
11. Serves as the backup for the Human Resources Coordinator with the processing of the Company Spot Awards and Safety Culture Award Program (SCAP) payment uploads.
12. Assists with the Company’s annual United Way campaign including coordination of giveaways and events and documentation of employee donations.
13. Provides administrative support to the Engineering & Operations Coordinator with report scanning, job books, bid package administration, specification preparation, archival of equipment records, management of off-site records storage and retrieval, and other administrative matters as requested.
14. Orders flowers and distributes Company employee announcements and reviews and/or updates the Company’s Ordering of Flowers, Gifts or Contributions Policy.
REQUIREMENTS
Education and Experience
* An Associate’s degree in business or related field or equivalent in experience and a minimum of five (5) years’ experience in business requiring significant degrees of contact with other employees and demonstrated ability to work with confidential information is required. Notary public designation preferred.
Knowledge, Skills and Abilities
* Ability to actively engage in safe behavior and understand and follow the principles and methods related to pipeline and workplace safety as established by the Company.
* Knowledge of emergency and safety procedures, policies procedures, equipment operating parameters, and all applicable DOT, EPA, FERC, DHS, and OSHA requirements.
* Skill in using computer hardware and software are required to manage, record, and evaluate company information.
* Well-developed skill in utilizing Microsoft Word for formatting of various documents, contracts, specifications and other Engineering documents and letters.
* Well-developed skill in utilizing Microsoft Excel for tracking and documenting Engineering information.
* Strong organizational skills, attention to detail, and follow through to resolve issues.
* Ability to organize information clearly and precisely.
* Ability to investigate and analyze information and to draw conclusions.
* Ability to coordinate multiple and changing priorities.
* Ability to coordinate actions in relation to others’ actions.
* Well-developed verbal and written communication skills necessary to interact with all levels of employees and contractors across the organization.
* Ability to work with minimal supervision.
* Ability to effectively work and cooperate with supervisors, co-workers, and vendors.
* Ability to follow corporate policies and the directions of supervisors.
* Ability to refrain from causing or contributing to the disruption of the workplace.
