Job Title: Administrative Assistant

Reports To: Director of Property Management (Owner)
FLSA Status: Non-Exempt
POSITION SUMMARY: An administrative position that directly supports the activities of the organization by performing the following duties under the supervision of the Director of Property Management. Prior property management office experience required.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
· Administrative support to owner and other members of the Enfield Leadership Team
· Answer and direct phone calls
· Schedule appointments and maintain calendar for Director of Property Management
· Schedule and coordinate staff and other meetings
· Organize, schedule, and attend meetings, take detailed minutes and follow-up on action items
· Assist with the creation, organization and implementation of various company activities and events
· Create and distribute meeting agendas
· Prepare PowerPoint presentations and act as presentation host for various meetings
· Write and distribute email communications and correspondence, including letters, memos, and forms to property owners, property staff, and vendors
· Assist with analysis, creation, preparation, and distribution of regularly scheduled reports
· Order and maintain office supplies and equipment
· Order and distribute company uniforms
· Provide and collect various employee acknowledgement forms
· Order and schedule distribution of company-issued cell phones
· Manage new property onboarding and property disposition checklists
· Liaise with senior management and third party property owners to handle requests and queries
· Create and maintain company contact and property lists
· Create, organize and maintain electronic files
· Reconcile and submit expense reports
· Provide general support and act as back-up for Home Office staff as required
· Attend job-related training as required
· Complete ongoing mandatory company training
· Provide excellent customer service
· Other related duties as assigned
QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Knowledge of:
· Property Management industry
· Operation of standard office machines and equipment including telephones, copiers, computers, etc.
· Spreadsheet, word processing, and presentation software including Microsoft Office 365, Excel, Word, PowerPoint
· Knowledge of and proficiency with Microsoft Teams and Zoom
· Knowledge of Realpage/Onesite property management software a plus
· Knowledge of office management systems and procedures
Skill and/or Ability to:
· Communicate effectively both orally and in writing

· Use time management techniques to organize and prioritize work

Education/Experience:
· High School Diploma or GED required; Associates or Bachelors degree preferred
· Minimum five (5) years of administrative experience in property management and/or training; or equivalent combination of education and experience in property management
