SUMMARY:
Under the supervision of the Director of
Admissions & Recruitment, the Administrative Assistant is responsible for all administrative/clerical duties and will perform duties
necessary for the daily operation of the Office of Admissions & Recruitment. This position provides professional support by managing
correspondence and reports, providing exemplary customer service and project management/planning.
ESSENTIAL DUTIES AND
RESPONSIBILITIES:
Confidentiality is a must. This position is a courteous representative of the Office of Admissions &
Recruitment on campus with prospective students and their families.
CORRESPONDENCE AND REPORTS:
• Office
supply and equipment inventory oversight and maintenance coordination.
• Responsible for retrieving, processing, and routing LEAD
cards.
• Assists in entering and maintaining student inquiries and information requests using Jenzabar JX SEM (applications for
purchasing and recruiting data base).
CUSTOMER SERVICE RESPONSIBILITIES:
• Handle telephone calls and
other written communication. Must be familiar with other areas of campus to help callers with additional questions they may have about our
University while using cordial phone etiquette.
• Communicate effectively with all prospective students and their families,
students, enrollment counselors, and other members of the East Central University community via phone and e-mail.
• Provide
front-line customer service to all internal/external customers, both in person and on the phone.
• Performs general office
functions requiring knowledge of correct office procedures and policies.
PROJECT MANAGEMENT/PLANNING:
• Assist with annual events including, but not limited to Senior Day, Junior Day, Group Tours, and School Fairs. This may
include preparation of mass mailings, reserving facilities, catering, receiving reservations, and other event coordination related tasks.
• Coordinates campus visits for prospective students. This involves maintaining the tour calendar, scheduling tours, and creating,
canceling and/or rescheduling departmental appointments as requested.
QUALIFICATIONS:
• Ability to
effectively manage deadlines on multiple projects.
• Related experience in admissions, recruitment, or other higher education
activities, and/or experience with SEM, Slate, COGNOS, Mongoose/Cadence applications a plus.
• Ability to learn and master new
technology.
• Establish and maintain effective work relationships with prospective students, students, faculty, staff, and the
general public.
• Communicate effectively by phone, in person, and in writing.
• Provide a friendly customer service
environment.
• Maintain confidentiality regarding protected personal information.
• Excellent interpersonal skills to be
an effective member of the team.
OTHER SKILLS AND ABILITIES:
Must be self-directed, very resourceful, highly
motivated, enthusiastic, and possess a positive attitude. Required skills include the ability to synthesize, summarize and communicate
information from a variety of sources; and good oral communication, writing, as well as, interpersonal skills. Must be task oriented
with the ability to complete projects under tight deadlines. Must be skilled in Microsoft Office Applications to include Outlook, Word and
Excel.

campus grounds, as well as, occasionally lifting and loading small amounts of office supplies.
