Organizational Unit Overview:
The Department of Foreign Languages and Literatures (www.foreign.ecu.edu) is one of sixteen departments in the Thomas Harriot College of Arts and Sciences at East Carolina University. It is a diverse, research-active, and collegial unit that offers a Bachelor of Arts in foreign languages and literatures with seven concentration areas: Classical Studies, French, French education, German, German education, Hispanic studies, Hispanic studies education, and Global studies; minors in Classical Studies, French, German, and Hispanic studies; a Master of Arts in Hispanic studies, an advanced language and culture option in the master of arts in international studies, and a Hispanic studies teaching area in the master of arts in teaching (MAT) program. The department offers Russian and Japanese in support of Thomas Harriot College of Arts and Sciences interdisciplinary minors in Russian studies and Asian studies, and concentrations in the Bachelor of Arts in multidisciplinary studies Russian studies and Asian studies. The department also offers a variety of study abroad programs in Latin America and Europe.
Job Duties :
This position serves as the student registration clerk, receptionist, and office assistant with primary responsibility for instruction-related tasks. This person is independently responsible for entering all courses into Banner after approved by the Chair, coding courses correctly, arranging room assignments and securing rooms with specialized technology needs, adding graduate sections, directed readings, and thesis sections of interdisciplinary programs, registering students when special permission is required, management of course waitlists, coordinating with faculty for over-enrollments or waiver of pre-requisites, declaring all majors, minors, and advisors for department programs and interdisciplinary programs housed in the unit, maintaining rosters of majors and minors, independently preparing reports of same for unit program coordinators, advisors and the chair, assuring the accuracy of BIC rosters for use by the Chair and university administration. High degree of proficiency in Banner student registration is required; high degree of accuracy and attention to detail required in conducting correspondence related to and processing requests for registration changes is also required. This position also acts as departmental liaison to the Office of the Registrar, independently resolving problems with that office for students and faculty. This individual monitors electronic submission of grades and faculty submission of syllabi to SharePoint. Oversees faculty submission of textbook requests and acts as liaison to Student Stores, working with faculty on unfilled or problem requisitions; orders desk copies for faculty. This person also assists faculty in securing timely assistance for problems arising in classroom use of instructional technology. This position is the first point of contact and principal greeter of students, parents, administrators and external constituents; plays a major role in presenting the public face of the department. This individual must be available to answer inquiries by phone and e-mail and independently answer many questions about unit course offerings, degree programs, events, staff, policies and procedures, or refer them correctly. This position is responsible for scanning and photo-duplication requests, collection and distribution of mail, faxes, maintenance of contact information of all faculty and staff, bulletin boards, posting of schedules and announcements, notification of class-cancellations. This position provides office support to the Chair and Lead Administrative Associate when needed; is cross-trained to perform duties of the Lead Administrative Associate in her absence, such as inventory, ordering of supplies and equipment in Port, and direct payments needed to maintain office functions. This position works with the Lead Admin who coordinates office functions and is responsible for the hiring, supervision and pay of student work-study employees. Instructs them in use of office equipment, phone, fax, proper interaction with the public, basic knowledge of dept. policies and offerings, use of scanner to facilitate faculty research, and in proper security procedures for photo-copying. This person is responsible for maintaining the security of exams and timely, accurate duplication and distribution to faculty, reserves rooms for departmental events and common exams, has knowledge of the use and routine maintenance of office equipment, such as CopiServ copier-fax-scanner, Risograph, laser printer, desktop scanner, and is proficient in use of office software and university data management applications: Microsoft Office, Outlook, BIC, Banner, 25Live, Port.
