Organizational Unit Overview:
The Department of Physics has 18 full-time faculty, contributes to institutional teaching through introductory and foundation courses, and offers a BS in Physics, an MS in Physics with concentrations in Applied-, Medical-, and Health Physics, and the PhD degree in Biomedical Physics. The Department of Physics has strong collaborations with the Departments of Biology and Chemistry, as well as the Department of Radiation Oncology in the Brody School of Medicine.
Job Duties :
The person in this position reports directly to the Department Chair. This position facilitates procurement and administration of research grants and contracts by faculty. This position is responsible for all EHRA and SHRA personnel activities, including recruitment, hiring, progress towards tenure, and termination. Estimated time spent on job duties is:
30% Personnel Activities. Initiate all SHRA and EHRA personnel paperwork, including but not limited to SHRA evaluation, KRONOS timecards, hiring, promotion, and termination. EHRA: recruitment, hiring, progress towards tenure and/or promotion, and termination. Process ECU Forms, departmental supervisor for the Effort Reporting System, grant reallocations, and process faculty reassignment time and instructed by Chair.
30% Budget planning, management, ad administration. Monitors and maintains all budgets relative to grants and contracts. Maintains information needed for budget reports and prepares requisite reports. This position will utilize spreadsheet software to produce accurate and presentable fiscal information that meets all state, federal, and university accounting policies and procedures. The individual will stay abreast of audit regulations and strictly adhere to them.
20% Research grant coordination. Liaison with the Office of Sponsored Programs and funding agencies for availability of grant opportunities of relevance to faculty. Assistance in preparation of research proposals. Budget keeping and assistance in preparation of reports relative to grants.
10% General office duties such as handling correspondence, responding to inquiries, composing letters and memorandums, answering the telephone, preparing reports, filing, and copying documents. Develops and maintains efficient filing system for tracking all office operations
10% Supervises and provides back-up to two additional departmental administrative assistants. Back-up may include providing assistance as needed to the Department Chair and Assistant Chairs, covering the office during absence of one of other assistants, which includes assisting with student registration, plus providing other assistance as required. Liaison with the Assistant Chairs is essential.

Proficiency in Microsoft Word, Excel, and Outlook. Experience in Kronos, Banner (Finance, Student, and HR modules), BIC reports, PeopleAdmin, PORT purchasing.
