Summary:

• Under general supervision, assists with administering technical and/or substantially complex contracts including all reporting, processing, and maintaining of all contract functions including billing.

Responsibilities:

• Assists with updating the database including: entering new contracts; updating existing contract information; processing contract renewals; insuring integrity of product descriptions, prices, and data within the contract database.
• Generates expired contract and warranty lists with follow-up to site management; Generates transaction file and maintains edit report for billing; and produces special contract reports for various customers.
• Coordinates contract administration quality goals and reporting.
• Responds to customer and internal inquiries concerning contracts; Acts as a liaison between company and subcontractors.
• Participates in negotiating contract with customer or bidder; Assists with requests or approving amendments to or extensions of contracts, preparing bids, process specifications, test and progress reports, and other exhibits that may be required; Reviews bids from other firms for conformity to contract requirements and determines acceptable bids; Provides input for contract function budget.
• Collaborates with management to resolves invoicing grief with Accounting.
• Helps facilitate training for new employees on contract functions.
• Participates in Service/Quality Initiative; continually improves and quantitatively monitors processes.

Qualifications:

• Bachelor’s degree in related field and 0-1 years related experience or equivalent combination of education and experience
• Proficient with Microsoft Office products, including Outlook, Word, Excel, and PowerPoint
• Excellent customer satisfaction, communication, and organizational skills
• Efficient learner with ability to handle pressure as required for customer satisfaction
• High level of accuracy required for critical customer contract equipment and billing specifications
• Ability to read and interpret documents, maintenance instructions, and procedure manuals
• Previous experience with direct customer contact
• Strong interpersonal and presentation skills

Physical Demands and Working Conditions:

• While performing the duties of this job, the employee is regularly required to stand; walk; use hands/fingers to handle, or feel; reach with hands and arms; climb, ascend/descend or balance to heights that may require a ladder or lift; stoop, kneel, crouch, or crawl in confined spaces; and talk or hear. The employee is occasionally required to sit. The employee must occasionally lift and/or move more than 50 pounds. The employee is regularly required to use close vision and color vision. The employee is occasionally exposed to outside weather conditions and risk of electrical shock. Work is typically performed in a factory environment and is usually very loud. In the factory environment, the employee may be exposed to hazardous materials and/or greasy or slippery factory floors.
