SUMMARY
On behalf of CNS Cares, LLC (“CNS” or “Company”), this position provides administrative and secretarial support the assigned department or region. In addition to answering phone calls, typing, filing and scheduling; this position may perform duties such as record keeping, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. Deals with a diverse group of external callers and visitors as well as internal contacts at all levels of the organization.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: Employee must have regular attendance/punctuality, be able to work with others at all levels of the Company, have exceptional customer service, and be completely honest. Other assigned duties include:
1. Schedules and organizes activities such as meetings, travel, conferences and department activities for all members of the assigned department or region.
2. Creates and develops visual presentations and reports as requested.
3. Establishes, develops, maintains and updates filing system(s) for the department or region. Retrieves information from files when needed.
4. Organizes and prioritizes large volumes of information and calls.
5. Sorts and distributes mail. Opens mail for the internal employees.
6. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
7. Answers phones for assigned department or region. Takes messages or fields/answers all routine and non-routine questions. Works in cooperation with other support employees to cover phones.
8. Acts as a liaison with other departments or regions and outside agencies, including high-level staff such as CEOs, presidents, senior vice presidents and chiefs. Handles confidential and non-routine information and explains policies when necessary.
9. Works independently and within a team on special nonrecurring and ongoing projects.
10. Acts as project manager for special projects, at the request of leadership, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating informational material.
11. Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
12. Other duties as assigned.

EDUCATION and/or EXPERIENCE
Required: High school diploma and six months of administrative experience; or equivalent education and experience.
