The Office Manager serves as the first point of contact for the day-to-day internal operations of the Honors College main office and the Honors Center. Provides collaborative administrative support for the Honors College leadership team, faculty, and staff. Other duties as assigned.
JOB DUTIES:
40% – Essential – Office Management: Provides oversight of day-to-day internal office operations. Manages the main office line, routes phone calls appropriately, and serves as first point of contact for current and prospective students, parents, faculty, and staff. Manages office supply inventory, serves as purchasing agent and Concur pcard holder for all office inventory, and coordinates and manages office property, storage, and surplus items. Serves as the liaison for all maintenance needs for the Honors College and Honors Center, including any renovations or updates. Ensures all areas, including conference rooms, reception area, and kitchen are clean and ready for use. Supervises and trains student workers and a part-time administrative assistant (if applicable) that assist with reception, Honors Center inventory and supplies, events, and other duties.
20% – Essential – Honors Center Management: Manages the operations of the Honors Center. Creates the master and room calendars for all room reservations , which includes all classrooms and conference rooms. Ensures appropriate inventory of supplies in Honors Center classrooms, study rooms, kitchen, and student work spaces. Works closely with the leadership team and supporting units to serve as the liaison for all Honors Center projects and tracks projects progress. Performs routine checks to ensure all spaces are ready for use and communicates any needs or concerns. Serves as the building security coordinator for the Honors Center which includes the Honors College suite, OMF, and Scholarships suite.
20% – Essential – Administrative Services: Works closely with Executive Assistant and Business Manager to provide administrative and programmatic support to the operations of the unit, preparing documents, researching relevant materials and data, compiling information, and creating reports. Manages ordering for all Honors College staff, provides or oversees student workers in providing administrative support to staff as appropriate, and assists Honors-affiliated faculty as needed. Provides backup support to the Dean and Associate Deans as needed. Maintains distribution lists for office communications.
20% – Essential – Event Coordination: Provides creative and professional event solutions for the Honors College. Develops and implements the event project structures for events sponsored by the Honors College and coordinates the Honors College’s contributions to co-sponsored events. Creates the project framework, intake requirements, supply and resource/budget management, communications to stakeholders and document management. Schedules rooms, arranges catering, and provides other support as needed for Honors College events. Organizes and plans Honors awards ceremonies in Fall and Spring semesters and coordinates distribution of student tickets to Brooks Center and other events.
MINIMUM REQUIREMENTS:
Education – High School Diploma and relevant experience in business management, public administration, or administrative services or a bachelor’s degree may be substituted for the required work experience.
Experience – 1 – 3 years of relevant experience in an office setting
PREFERRED REQUIREMENTS:
Education – Associate’s Degree or higher
Experience – 5+ years of experience in office administration in a higher education setting
