Job Description:
This position will primarily provide faculty support including but not limited to the following duties; prepare exams, photocopy course materials, prepare manuscripts & correspondence for faculty. Responsible for collecting all faculty syllabi each semester and file for AACSB audits. Maintain all office supplies for SOM. Assist with book or material orders for faculty. Oversee course mid-term evaluation process for each semester. Enter faculty data in Clark E-folio each year to ensure up to date information for AACSB reporting and all faculty COP cases. Schedule rooms for faculty TA sessions, guest speakers, special exams, make-up meetings, and faculty program review committee meetings. Provide summary reports for the deans on FAR’s (faculty annual reviews). Collect library book/journal information and submit to the library. Assist with onboarding new faculty; set up orientation meeting, order business cards, supplies, furniture, keys, course materials, review how to use copier and where to get ongoing supplies, answer all general questions or find answers. Coordinate proctors and rooms required for make-up exams. Ensure faculty mailboxes are up to date each semester, inform faculty when orders arrive. Work with the dean to assist with faculty searches; distributing CV’s, scheduling campus visits, lunches, limo airport service, collecting evaluation surveys and tabulating results, and compiling salute to faculty binder.
This position provides academic support to the Dean’s Office and serves as the primary contact to reserve rooms, utilize the EMS system to book, confirm once assigned. Additionally, the position will assess and determine space in Carlson Hall for any SOM events; support academic, student and career services office needs. Assist Registrar’s office with Carlson Hall classroom scheduling. Submit orders for catering through Clark or External, process necessary paperwork. Assist with department directory, ITS asset documentation, update faculty assignment documents every semester and year, provide assistance with research and reports in the dean’s office. Inventory, monitor, and order office supplies for department.
The office assistant serves as the School of Management receptionist and will greet visitors, answer main phone line into SOM, provide general information, directions, or transfer to appropriate office, sort, distribute, and handle SOM mail distribution.
