Project Management Assistant
Carolina Marine Structures, Inc. is a leading heavy civil marine contractor located in Hampton Roads. We offer a wide range of services and turnkey solutions in marine construction, design, and specialty services on, over, and under the water throughout North Carolina and Virginia. We are currently seeking a seeking a Contracts Administrator with Heavy Civil and/or Commercial Marine Construction Experience to join our Project Management team.
Job Description/Summary
The Administrative Assistant provides direct support to the Project Team and contributes to the planning and execution of projects; assists the project team in monitoring and control of project cost, submittals and contract compliance, works with the team to create, submit and manage subcontracts, purchase orders and change orders; Review and enter project related invoices; Create and manage timely receipt of lien waivers; Tracks quantities related to daily production; Assist with various other activities related to administration and the management of contracts.
Job Requirements/Qualifications
· High school diploma/ GED required
· Degree in business management or related field preferred
· Previous experience in project management or a similar role preferred
· 2 – 5 years’ experience in contract management, accounting administration or similar roles preferred
· Physical Requirements: While performing the duties of this Job, the employee is regularly required to sit; The employee must be able to lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.

· Must be proficient with Microsoft Word, Excel, and Outlook (Microsoft 365 is a plus)
General Responsibilities
· Supervisory Responsibilities: This job has no supervisory responsibilities.
· Monitoring and maintaining projects for estimation
· Reviewing bid specs and researching information for projects/bids as required
· Performing administrative tasks such as preparing invoices, estimates, scheduling meetings, etc.
· Requesting bid bonds and tracking bonds for projects
· Setting up new projects in Foundation® software system
· Tracking contracts and change orders
· Assist with entering job costs for projects
· May become back up for payroll processing and A/P as needed
· Other duties/tasks as assigned and required by business need
