Duties and Responsibilities :
- Manages all daily operations of the office, including opening and closing, maintaining appearance and security of premises; handles both routine and urgent requests for service via phone and in person; and conducts filing.
- Assists with scheduling of appointments.
- Produces flyers, brochures and other promotional items.
- Manages social media accounts.
- Manages flow of students in office and effectively handles high volumes of traffic in waiting room while communicating sensitive information to clients and protecting clients’ privacy and maintaining confidentiality.
- Serves as initial point of contact for Counseling Services. Creates a welcoming environment where students, parents, faculty/staff, and other visitors feel comfortable.
- Responds quickly, calmly, and professionally to crisis and potential emergency situations both in-person and on the phone.
- Assists the Senior/Director, Assistant Director and other staff with as needed logistical and organizational support for meetings, presentations, projects, and travel.
- May assist with processing electronic records, including integrating paper documents and referrals into electronic records.
- Acts as point of contact for vendors.
- Provides secretarial and clerical tasks integral to the day to day functioning of Counseling Services.
- Handles maintenance and general upkeep of office facilities, equipment, and technology.
- Provides administrative support for outreach programming.
- Keeps inventory, orders supplies and performs purchasing for Counseling Services.
- Assists the Senior Director with budget management by coordinating financial reporting and reconciling expenses in PeopleSoft.
- Provides students, parents, faculty/staff, and other visitors information regarding services and helps educate them about other resources on campus.
- Reviews office processes and procedures to ensure maximum effectiveness.
Education:
A High School Diploma or GED required, Bachelor’s degree preferred.
Experience:
Minimum three (3) years of administrative/secretarial experience, or an equivalent combination of education and experience.
Knowledge Skills and Abilities :
- Knowledge of, and experience with, office management.
- Excellent verbal, written, and interpersonal skills.
- Ability to deal calmly and effectively with and/or regarding distressed students, families, and others.
- Ability to practice confidentiality in accordance with ethical standards such as the American Counseling Association, under which the staff work.
- Proficiency and/or ease with various software, including utilization of Microsoft Office Suite and cloud-based computing.
- Ability to employ effective and compassionate communication skills.
- Ability to organize workflow, coordinate activities and take initiative as needed.
- Ability to practice good judgment and problem solving.
- Ability to handle multiple schedules and multiple tasks simultaneously.
- Ability to work independently.
Conditions of Employment :
Special Requirement: A skills level assessment will be administered to candidates on Microsoft 2016 Word, Excel, and PowerPoint.
