Summary: The Human Resources (HR) and Billing Administrator is responsible for managing the billing process and financial records for clients and vendors at Blue Ridge, by generating invoices, collections, and processing payments. This role ensures that all billing-related data is properly organized and stored, which includes creating databases and spreadsheets to track customer information, invoice details, and payment histories. The HR and Billing Administrator creates and maintains student records, including insurance information, medical history, and billing details. This role will maintain accounting records by updating financial records and generating reports for management review. This role oversees all administrative tasks related to Human Resource. The HR and Billing Administrator handles the consistent record-updating and documentation of the human resources for the organization and is the primary contact person for any HR-related queries.

Minimum Requirements

• High School Diploma
• Ability to pass criminal background check and pre-employment drug screen
• Consistent presence and availability at office and/or field (Clayton, GA) Monday through Friday, each week

Preferred Qualifications

• Bachelor’s degree in a related field, and/ or equivalent professional experience
• Minimum 2 years of previous administrative experience, ideally working with accounts; human resources; insurance
• Excellent organization and strong critical thinking skills
• Excellent verbal and written communication skills
• Good time management and multi-tasking ability
• The ability to keep sensitive information confidential.

Essential Duties & Responsibilities

• Consult with and report to the Executive Director, Owner, and CPA on a weekly and monthly basis regarding the company’s financial operations.
• Facilitate annual financial audit with CPA and outside reviewing agencies.
• Analyze financial data and work to maximize revenue and reduce costs.
• Maintain all client financial accounts, to include:
• Post client’s payments, maintain records and ensure proper destruction in accordance with state and federal laws.
• Ensure proper invoicing for all clients
• Resolve collections by examining client payment plans and payment history while maintaining the utmost client care.
• Preparation and maintenance of monthly/yearly patient schedules and reporting
• Protects organization’s value and client information by maintaining complete confidential records.

• Perform accounts payable duties, to include pay vendors by monitoring discount opportunities; verifying federal id numbers; scheduling and preparing checks; issuing stop-payments or purchase order amendments.

• Oversee and initiate work with contractors and/or vendors on any grounds or building projects including receiving quotes/ bids and ensuring the work is completed in a timely and satisfactory manner and communicating with the Executive Director on needed projects.

• Student Records: Building/creating, maintaining and auditing student files
• Prepare and generate all client superbill statements for insurance reimbursement and claims
• Assist with all Prior-Authorizations for all newly enrolling and current clients based on request and need.

Human Resources Administration:

• Manage and maintain all physical and digital employee files – creation, upkeep, and regular auditing
• Ensure employees receive support and care orienting to the organization
• Support with onboarding and orienting new employees
• Support with offboarding/voluntary and involuntary exits
• Manages administrative aspects of employee complaints and disciplinary actions (documentation, follow up, working with supervisors)
• Ensure all employees receive both federal and state background checks in accordance with DHS state regulations
• Help employees navigate benefits
• Oversee updating, tracking of Employee Manuals
• Acting as the first point of contact for all personnel queries

Job Type: Full-time

Pay: $38,000.00 – $44,000.00 per year
