POSITION SUMMARY:

The Expense Payable Associate provides financial, administrative, and clerical support by ensuring payments are completed and expenses are controlled by receiving payments, processing, verifying and reconciling invoices according to established policies and procedures in an efficient, timely and accurate manner.

ESSENTIAL FUNCTIONS:

• Reviews systematically created invoices in an accurate, timely manner and inquire about items that are unusual or questionable before accepting.
• Understands and interprets data, and provide clear and consistent guidance to other teams, as needed.
• Reconciles processed work by verifying entries and comparing system reports to balances.
• Performs data entry of invoices, check requests and expense reports on a regular basis.
• Understands sales tax regulations and applies fundamental knowledge to accrue sales tax on invoices.
• Researches and resolves invoice/payment inquiries or discrepancies, in a timely manner.
• Maintains current aging of invoices by reconciling vendor statements and related transactions, and working with vendors/associates to resolve past due invoices and collect credits due to Company.
• Maintains accurate and reliable documentation.
• Monitors discount opportunities, verifies federal id numbers, and contacts vendors for W-9 requests.
• Performs monthly reconciliations.
• Prepares analysis of account, as requested.
• ALL OTHER DUTIES AS ASSIGNED.

EXPERIENCE/QUALIFICATIONS:

• Minimum Degree Required: High School Diploma
• Experience: 4+ of years in accounting
• AS400 and Coupa experience a plus

KNOWLEDGE, SKILLS, AND ABILITY:

• Knowledge of general accounting principles, regulatory standards, and compliance requirements
• General math skills
• High degree of accuracy, attention to detail, judgement, and confidentiality
• Excellent data entry skills
• Excellent analytical, problem solving and decision-making skills
• Effective organizational, stress and time management skills
• Demonstrates a sense of urgency, follow-thru and ability to meet deadlines
• Self-starter with ability to work independently or as a team member
• Effective verbal, listening and written communication skills
• Professional Integrity
• Proficiency in MS Office, including the ability to operate computerized accounting and spreadsheet programs.

• Regularly performs computer work and sits.
• Occasionally walks and stands.
• Seldom/never lifts up to 50lbs.

INDEPENDENT JUDGEMENT:

• Performs tasks and duties under general supervision, using established procedures and innovation. Chooses from limited alternatives to resolve problems. Occasional independent judgment is required to complete work assignments. Often makes recommendations to work procedures, policies, and practices.
