Job Summary
This position provides oversight and support for the College of Allied Health Sciences. Work with the Associate Dean for Academic
Affairs, provide leadership for Academic and Student Affairs support team. Ensure all educational activities within the College of Allied
Health Sciences and conducted efficiently, meets compliance requirements, and are aligned with the college’s goals in educational
excellence. Provide administrative support to Associate Dean for Academic Affairs to include the oversight of the Associate’s Dean’s
calendar.
Responsibilities
ADMINISTRATIVE SUPPORT OF ASSOCIATE DEAN: Provide administrative
support to the Associate Dean for Academic Affairs, Faculty Council and Alpha Eta Society. Duties include calendar management, scheduling
meetings, preparation of meeting agendas and minutes, etc. Provide administrative support for the Dean’s office as needed to include
answering phones, greeting visitors etc.
COLLABORATION: Work collaboratively with admissions, academic
and student affairs and institutional effectiveness to maintain student data for all CAHS academic programs. Prepare statistical analyses
and reports for use by the Associate Dean of Academic Affairs, program directors, administrators, and external
customers.
RECRUITING: In partnership with the Associate Dean of Academic Affairs, implement recruitment
efforts for all CAHS academic programs. Responsible for executing all aspects of the recruitment plan to include participate in recruitment
events, planning and coordination of student recruitment activities as well as facilitating communication between the college and various
institutional offices.
FINANCIAL: Manage Alpha Eta Society membership dues. Collection of dues, prepare
bank deposits, bank reconciliation, review with Alpha Eta Officers to obtain necessary approvals.
EVENTS:
Coordinate and provide support for student and faculty functions within the CAHS to include hooding/commencement ceremonies and faculty
orientation. Under the oversight of the Associate Dean and Alpha Eta, facilitate the processes for student awards and scholarships. Prepare
and process CAHS Student Liability annual payment.
ACCREDITATION: Work with Associate Dean and
administrators to support the accreditation process for all CAHS academic programs and AU. Serve as a resource for deans, chairs, and
faculty within CAHS to implement policies and procedures as it relates to the academic mission.
REPORTS:
As directed by the Assoc. Dean of Academic Affairs, develop reports, and analyze data for all academic programs within CAHS: work with
various databases and software to track student/program related information; maintain complete filing system for programmatic documents.
Provide administrative support in development and submission of new program proposals and contracts to include clinical education contracts
and memorandums of understanding.
OTHER DUTIES:
Required Qualifications
High School
diploma, GED or equivalent from a recognized State or Federal accrediting organization and 7 years of progressively responsible experience
in administrative support positions
.
Associates degree from an accredited college or university in a related field and 4 years
of progressively responsible experience in administrative support positions.
Preferred Qualifications
Three to five
years’ experience in administrative responsibilities or academic programs.
Knowledge, Skills, & Abilities
KNOWLEDGE
Proficiency with Microsoft Office (Word, Excel, Access, and PowerPoint) and other computer
software/databases.
SKILLS
Excellent customer service, interpersonal, multi-tasking, organizational
and verbal/written communication skills.
ABILITIES
Ability to coordinate multiple projects
simultaneously, meet deadlines despite often interruptions, maintain confidentiality, keep accurate records and make independent
decisions.
Shift/Salary/Benefits
Days- Monday-Friday 8:00 a.m.- 5:00 p.m.
Pay Grade: 12
Salary: Minimum
$15.06/hour – Midpoint $19.58/hour
Salary to be commensurate with qualifications of the selected candidate within the established range
(generally minimum midpoint) of the position.
