The School of Human Evolution and Social Change (SHESC) seeks a highly motivated, organized, and financially savvy Business Operations Specialist, Sr. join our business services team. Reporting to the Assistant Director of Operations (ADO), this position is intended to provide heavy support to human resources-related functions while also covering a broad range of business responsibilities. This position performs work of considerable responsibility to ensure consistent use of standard business practices, internal controls, fiscal policies and procedures in accordance with all applicable governing, state, and federal regulations. Salary Range: $55,000 – $65,000 per year; DOE

Essential Duties

This position will routinely interact with other members of the SHESC staff, faculty, administrators at all ASU levels, and external parties, so excellent communication skills are critical. They will need to exhibit strong abilities to manage multiple tasks and priorities and have the ability to problem solve and work well in a fast-paced, deadline driven team environment. Knowledge of academic and university policies and procedures and the ability to identify and implement best practice is desirable.

Human Resources Support— Duties include, but are not limited to:

• Work alongside and support the School’s HR Specialist, Sr. with large volume human resource functions, including: personnel transaction requests for terminations, hiring on multiple funding sources, and position renewals; offer letter generation; FTE changes; position accounting modifications; and payroll redistributions
• Support the year-round recruitment efforts of all hourly student workers in BrassRing, which includes posting the position, communicating with applicants, assisting with screening/providing application materials, scheduling interviews, and making job offers
• Complete bi-weekly payroll reconciliation
• Monitor and follow up on action items for human resources-related reports, including but not limited to: ACA Trending, Authorized Driver Program, Information Security, Fire & Safety training, and other reporting needs as required
• Create and maintain electronic personnel records based on ASU Office of Human Resources guidelines
• Serve as backup Department Time Administrator (DTA) for professional staff and student workers, ensure timely and accurate entry/approvals in PeopleSoft and TAS systems
• Partner with the School’s HR Specialist, Sr. to provide overflow support and on special projects as needed

Financial Oversight and Compliance — Duties include, but are not limited to:

• Assist with information and data gathering in the preparation of departmental administrative and financial reports; analyze, summarize, and interpret information
• Assist with the coordination and follow up of receivables due to SHESC (examples include course development funds, commitments from The College of Liberal Arts and Science, etc.)
• Maintain financial files and documentation following established procurement and financial policies as required by ASU/ABOR/ASUF
• Manage high-priority activities in a fast-paced environment requiring coordination and follow through; responds to administrative inquiries and ensures resolution and follow-up
• Works with ADO to ensure and verify consistency and compliance of business operations activities across SHESC-related centers and institutes
• Remain current regarding all policies, practices, methods, standards, regulations, and requirements affecting the business and operational activities to ensure ongoing compliance
• Provide general support to the rest of the business services team members, which includes business operations and research advancement, to process transactions such as journals, expense transfers, and redistributions
• Assist ADO and the School Director with special projects as directed and other duties as assigned, with particular emphasis on development and ongoing improvement of internal best practices and workflow; prepares and updates internal manuals

Minimum Qualifications

Bachelor’s degree in a field appropriate to the area of assignment AND five (5) years of related experience; OR, Nine (9) years of related experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

• Evidence of (3) years of experience in academic operations in a higher education institution.
• Evidence of (3) years of experience in both HR and business operations related experience.
• Experience in an academic environment and knowledge of the research enterprise of ASU.
• Experience working in business administration at a higher education institution and with a high degree of confidentiality and discretion.
• Experience in working independently, exercising analytical skills, and decision making, in an environment subject to minimal direction/supervision.
• Experience in working effectively in an environment subject to regularly changing priorities and strict deadlines requiring regular follow through of activities within assigned work.
• Evidence of analytical skills and the ability to briefly summarize information from various sources.
• Experience and judgment to plan and accomplish goals, including willingness to think creatively.
• Experience with problem-solving complex issues, meeting deadlines, and nimble decision-making.

Working Environment

• Monday-Friday work schedule. Occasional weekend work and/or travel will be required for critical deadlines and/or events.
• Working both independently and within a complex structured team.
• Clearly communicate to perform essential functions.
• Quickly changing priorities, which may include and/or are subject to resolution of conflicts.
• Performing activities in an environmentally controlled office setting.
• Using software and computer equipment (i.e. monitor, keyboard, mouse) for extended periods of time.

• Frequently bending, reaching, lifting, pushing, pulling, and transporting up to 25 pounds.
• Standing for varying lengths of time and walking moderate distances to perform work.
