Minimum Hiring Annual Salary:

$51,580.00

Maximum Hiring Annual Salary:

$54,159.00To attain the maximum annual salary, employee must meet all minimum qualifications plus:

• 5 (five) years of additional applicable work experience and/or degrees higher than minimum qualification degree. Degrees higher than the minimum qualification degree can be used in combination with additional work experience.

The stated salary amounts are not guaranteed in the event employment ends with Aims during any fiscal year.Included with Aims Full-time Employment is a generous package of Benefits, most are listed below:

Job Description:Under very limited supervision, assist with directing the operational, financial, personnel and planning functions of the Foundation requiring the use of considerable independent judgment, originality, and application of management and human relations skills.

This position directly supports the Foundation Executive Director, Development Officer and Database Manager, collaborating with the each to coordinate the management/function of the Foundation office. This includes all scheduling, meeting preparation, project assignments, donor meeting preparation, travel coordination and office management.

The incumbent interacts with a broad constituency, both internal and external, including donors, faculty, students, community leaders, and staff including the College President’s office and members of Cabinet.

Incumbent will work independently on projects and maintain strict confidentially at all times.

Incumbent will possess the ability to work in a high pressure, time sensitive environment – while projecting a calm, customer-service focused demeanor.

Position requires responding to a wide array of inquiries in a timely and sensitive manner.

Requirements include regular interaction and appointment setting with donors, Trustees and community members.

Incumbent must be comfortable communicating and using with all forms of technology including phone, email, text, AI, and graphics design programs.

Foundation Board Support:

• Provide timely and accurate information to board members. Duties may include: Development of board member packets for traditional and committee meetings; taking and transcribing board minutes; notification of meetings, assistance with annual retreat details, research and implementation of campus educational sessions for board meeting and tours.
• Experience in the stewardship of board members; coordination of venue, facilitator and members for traditional and special board meetings.

Support Foundation Needs:

• Organize email, direct mail and other external communication. This will include the composition, production, and proofreading of documents for the Executive Director, Foundation Board meetings; reminder telephone calls, email and letters; scheduling rooms and catering for on and off campus meetings and events; Identify and assist with Foundation website updates.
• Write and coordinate the submission of requests to Aims Daily pertinent to Foundation information and events as directed by the Executive Director.
• Submit service tickets as requested, in support of Foundation projects.
• Utilize office technology to properly produce professional communication and marketing materials.
• Develop, prepare and mail documents following (general to limited) review by the Executive Director. This will include assistance with the organization of special events; board meetings; thank you letters; and donor recognition materials.
• Maintain office supplies.
• Work with outside vendors and reprographics to ensure the productions and completion of special event, marketing and public relations materials are timely and within budget.
• Provide receptionist functions for the Foundation.
• Develop requisitions for office and official function supplies. This will include the purchase of office supplies, the reconciliation of monthly p-cards, and the preparation of Travel Expense reports and Travel Requests for Foundation staff.
• Assist with developing written content for Foundation newsletters, gathering alumni stories, donor profiles, etc.

Provide Program & Special Event Support:

• Work with outside vendors and with Aims service providers for full life-cycle event planning.
• Duties may include: Preparation of invitation mailings, collection of RSVPs, collection of donations, issuance of receipts and refund, management of materials for marketing and public relations purposes, solicitation of event sponsors and vendors. Follow-up and tracking of sponsorship donations, and assist with Reprographics on creation of printed materials for the event. Assist with event day coverage and representation as requested by the Executive Director.

Donor Support:

• In collaboration with the other Foundation personnel, provide timely and accurate information to donors.
• Duties may include: development of draft gift agreements for donor consideration and review, detailed pledge reminders that are tracked and sent on a timely basis in compliance with IRS regulations; customized follow up letters; creation of annual gift acknowledgement letters, fund balance letters and identification of lapsed and prospective donors.

Other Duties as Assigned:

• In support of the Foundation, assist with other duties as assigned.

Minimum Qualifications:

• Associate’s Degree in related field; plus,
• Five (5) years of related experience or an equivalent combination of education and/or work experience.
• Demonstrated ability in Microsoft Office Products and donor database management.
• Considerable knowledge of basic budget and accounting principles.
• Must be highly organized, with the ability to work independently and with minimal supervision, communicate effectively both orally and in writing and construct professional communication materials based on directives from the Executive Director, which may include emails, letters, and invitations to events A skills test may be required to demonstrate necessary proficiencies.
• Excellent interpersonal relationship skills.
• This position requires the use of a company vehicle and/or personal vehicle for business travel. The selected candidate must successfully pass an MVR and be insurable under Aims insurance.
• Ability to work a flexible schedule.

Preferred Qualifications:

• Bachelor’s Degree in Non-profit management, business, communications; plus,
• Three (3) years of related experience in a foundation or nonprofit.
• Experience working within a professional business environment with an emphasis on public relations, marketing, data base management, record keeping, basic budget and accounting practices, and special events planning and coordination assistance.
