Department: 170301 – Mathematics
Location: Raleigh, NC
Essential Job Duties:
Position manages all the activities of the Undergraduate Program office for the Department of Mathematics, which is the primary entry for the department. The position serves as the primary support and works in tandem with the Director of Undergraduate Programs to drive the administrative responsibilities for the Department of Mathematics Undergraduate Program. This position will provide some traditional administrative support activities directly for the Director of Undergraduate Programs (DUP) but requires the ability to prioritize deadlines of the department, college and university.
The position works closely with the DUP to clear/flag all majors and minor seniors for graduation, and this requires close coordination and liaising with the college office of academic affairs as well as Registration and Records and other university offices; accuracy and attention to detail are paramount to success of the position and to our students as mistakes could cause considerable additions of time and expense to students, if not processed properly. This position will determine the most effective course of action needed to obtain solutions and take the necessary actions needed to resolve problems, both common or unique. Additionally, as mostly all students must take courses in mathematics, there can be times where this position will deal with high volumes of inquiries from not only majors and minors, but students from other related disciplines.
The position will produce and direct (making all arrangements and assignments) two large departmental graduation ceremonies, and provide material and support for orientations and, as needed-recruiting events. Attendance at all events are not typically required, aside from graduation, but there may be infrequent times where the position will need to attend some events outside of normal business hours. The position will collect and organize diverse data and information (including but not limited to enrollment data, graduation statistics) requested by the department, college or the university. Data collected is used in reporting for various internal and external constituents, including external accreditation agencies. The position will collect and organize alumni information including address and job information, and will work with the Office of Advancement to curate information.
The position is the primary point of contact and “face” of the department for all undergraduate constituencies, whether that be students, parents, or faculty, and must have excellent communication skills-both verbal and written. The position must exercise strong judgment and appropriate temperament control and management as emotions can run high when dealing with diverse constituencies surrounding grades, courses, and other matters that can directly influence a student’s success.
This position provides direct customer support to all teaching faculty and graduate students. The position must be a master of information on the department, developing and maintaining a working knowledge to help facilitate directing inquires that are not only the responsibility of the position, but also those of others within the department.
Inclusiveness and diversity are critical to the success of the College of Sciences and the University. The selected candidate will be expected to foster an environment that is supportive and welcoming of all groups.
