Summary:
This position will act as a liaison between Human Resources
and the department to provide best practices in employment development and employment partnership programs for Workplace Services. Provide
strong public relations efforts while understanding University and department guidelines.
Provides secretarial and administrative
office support. Performs a variety of clerical duties in accordance with specific instructions and established work
procedures.
Follows written and verbal instructions to accomplish assignments, sometimes of a routine and repetitive
nature.
Responsibilities
1. Provides administrative support to management and
department.
2. Responsible for departmental record keeping, reports and file maintenance.
3.
Review and submit job postings.
4. Create and maintain department reports.
5. Act as a
liaison between employees and payroll.
6. Attend Facility Coordinators meetings and provide administrative
support, including process improvement.
7. Uses Computerized Maintenance Management System to assist project
coordinators in finalizing and closing out projects
8. Processes requisitions, invoices and external
charges
9. Coordinates with customers upon project completion
10. Assists Project Coordinators
to stay current with “Unifier” check lists items.
11. Maintain the content for the departmental Teams, UBox, and other
intranet systems.
12. Prepares correspondence, including composing routine letters and memos.
13.
Makes arrangements for meetings and conferences.
14. Maintains confidential files.
Provides
additional general office support such as greeting and directing visitors, handling incoming calls and processing
Minimum
Qualifications
Associate degree in business or equivalency (2 years related work experience may be substituted for 1 year
of education) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal
communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.
