Position Overview:
The overall Penn Fund team includes one subset of members who work in partnership with class and reunion giving volunteers, as well as divisional colleagues, to achieve ambitious dollar and donor goals for these milestone campaigns every fiscal year. Reporting to the Director of Class Giving and Reunion Programs, the Development Assistant provides logistical support to frontline officers who make individual solicitations and collaborate with volunteer committees, in addition to helping maintain best practices in data entry and management, prospecting and cultivation, and engagement and stewardship for the benefit of our entire team.Job Description
Specific Responsibilities:
Support prospect management needs of the Class Giving and Reunion Programs team and its volunteers utilizing Penn’s donor database (maintaining integrity of relevant information in system and beyond).
Partner with entire Class Giving and Reunion Programs team to help ensure committees and fundraising campaigns are moving forward through 1:1 meetings, participation on calls, service to volunteers.
Maintain class-specific goal tracking worksheets and pre-reunion invitation lists (including RSVPs) in addition to support of any other volunteer engagement documentation and reporting efforts.
Support frontline fundraisers in lead up to visits, including preparation of informational packets and materials, meeting room reservations and arrangements, list reviews for potential reunion and non-reunion meetings, or briefing documentation.
Help to create and maintain donor pipelines focusing on leadership giving/relationship building and leveraging the prospect clearance process conducted with other departments within Development and Alumni Relations.
Communicate with Penn undergraduate alumni and friends through inbound calls and emails to the office.
Provide administrative assistance to the Director of Class Giving and Reunion Programs, including with scheduling and maintaining team meetings, travel and expenses, and general office management.
In partnership with both a fellow Development Assistant and the Director of Class Giving and Reunion Programs, create and sustain accurate fundraising reports to track results, expected gifts, and multi-year pledges.
Compile and summarize alumni giving and volunteer engagement data as requested by team members in preparation for outreach and solicitation.
Respond to volunteer requests for data, including prospect lists or current and historical class statistics, metrics, or benchmarks.
Enhance volunteer usage of our online portal through partnership and technical support.
Develop and offer expertise in office automation applications such as Word, Excel, PowerPoint, Outlook, and organizational constituent database.
Assist with other duties as assigned on both The Penn Fund team and across the division.
Specific responsibilities include frequent collaboration with The Penn Fund’s Marketing and Donor Participation and Young Alumni and Student Philanthropy teams, the Office of Alumni Relations, the central Major Gifts team, and School and Center-based fundraising staff. This role also may temporarily support reunion and non-reunion classes during transitions on our team.
Participation is regularly anticipated at signature events, such as the Penn Reunion Volunteer Conference, Alumni Weekend, Homecoming, volunteer appreciation events, regional pre-reunion events, and other events that provide opportunities to engage potential Penn Fund donors.

Qualifications:
High School diploma and 3-5 years of experience or equivalent combination of education and experience required; BA/BS degree preferred.
