Job Duties :
The ECU, College of Nursing is seeking a full-time Administrative Support Associate to serve as the l support for the College of Nursing (CON), Office of Academic Affairs. The Administrative Support Associate will be responsible for assisting the Associate Dean with general administrative duties to include: being the primary contact person for the office, overseeing the calendar for the Associate Dean scheduling appointments and meetings, completing travel for the Associate Dean and attending, typing minutes for other meetings as necessary for the Associate Dean. This employee will also have the responsibility of preparing confidential materials such as faculty evaluations, personnel letters, and other items that should remain confidential within the department.
Specific Duties Include:
Interpersonal Skills and Knowledge of Program:
The Administrative Support Associate position is located in the Office of the Academic Affairs, who serves as the liaison between the Associate Dean for Academic Affairs, other Department chairs, DNP Specialty Director and PhD Program Director and the MSN Concentration Directors. The employee is the principal contact person for the Office of Academic Affairs and is knowledgeable about all aspects of the College of Nursing educational programs.
This employee must take the initiative and exercise good judgment in the decisions that represent the College and the Associate Dean. This individual will be responsible for screening requests to meet with the Associate Dean for urgency and content and may need to delegate those requests to others in order to preserve the time of the Associate Dean for those items that need their direct attention. This employee will be able to work independently and rely on their own judgment and experience, and work to resolve scheduling conflicts when necessary. This employee will be responsible for interacting with upper-level university officials, College of Nursing Administration, and other disciplines in the University, as well as community healthcare agencies and other community leaders and organizations. This employee may attend meetings within and without the College of Nursing on behalf of the Associate Dean
Verbal and Written Communication:
This employee uses professional, oral and written communication. This employee will independently research, develop, and compose materials, text and templates which may include memos, letters, reports, and presentation materials for the Associate Dean. The employee must be an expert with Microsoft Word and Excel. This employee must anticipate the need to initiate written communication to correspondence or reports prior to the Associate Dean request.
Problem Solving:
This employee will serve as the liaison between the faculty, staff, and other administrators and the Associate Dean. This employee is knowledgeable about all aspects of the college and of all programs in the College, as well as state and university policies and procedures. The office of Academic Affairs must be capable of responding rapidly to frequent changes that occur daily therefore, this employee must be a critical thinker, be adaptable and flexible, have a strong work ethic, and have excellent time management skills and knowledgeable of graduate nursing endeavors.
Information/Records Administration:
The employee is responsible for overall recordkeeping activities and processing of forms for the Associate Dean office and must be competent with the use of Excel spreadsheets. This employee will need to inform other administrators and staff of schedules and deadlines for various activities, program, and university reports. This employee is responsible for assisting with maintaining files for the office of the Associate Dean. This employee will work with the Director of Assessment and Information Management to analyze information for surveys and accreditations as the need arises, and facilitates preparation of College of Nursing annual reports.
Budget:
This employee will be responsible for working with the Associate Dean. This employee will keep track of budgetary costs and keep the Associate Dean informed of any excessive expenditures and/or concerns with the travel budget. This individual will plan and execute travel arrangements for the Associate Dean.
Office Technology:
This employee will be responsible for accessing information in the ODS, Banner, Faculty 180, RefWorks, LMS, Degree Works, and other programs utilizing each system effectively. This employee will also need to be proficient in the use of Microsoft Word, Excel, and PowerPoint to assist with the development of oral and poster presentations for conferences.
Minimum Education/Experience:
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
