College of Education: Educational Psychology & Learning Systems
Responsibilities
Coordinates and maintains student files and all related components for the Combined Ph.D. in Counseling and School Psychology as well as the Counselor Education graduate programs from initial contact as applicants through their graduation from the program and beyond. Admission tasks include, but are not limited to communicating with applicants; calculating GPAs for faculty review; alerting faculty about strong completed applicant files for fellowship consideration; planning and implementing interview days for applicants; sending related admissions paperwork to OASIS for processing, and serving as liaison with that office; maintaining and evaluating admission statistics for all graduate programs, including GRE score tracking, GPA tracking, and related info; Reporting on admissions activities to the faculty. Converting admissions files into permanent student files and maintaining an updated and accurate inventory of these files (practicum placement forms, various evaluations, insurance documentation, programs of study, preliminary exam results). Communicating graduation lists to faculty coordinators. Sends licensure verification letters when requested. Recommends policies and procedures related to admission activities in all graduate programs. Assists with recruitment activities for all graduate programs.
Coordinates with program faculty and data analysts within the College of Education on accreditation-related data collection and tasks.
Serves as the primary point of contact for all graduate programs in the Combined Ph.D. in Counseling and School Psychology as well as the Counselor Education program activities, including but not limited to maintaining multiple online program resources. These include all the program websites: and updating content as necessary. Performing tasks as the primary staff support for the faculty members, including but not limited to attending biweekly faculty meetings and taking minutes, serving as a support for faculty program coordinators, scheduling meetings, and reserving rooms.
Coordinates the scheduling, administration, and forwarding of results of various national certification exams for the Counselor Education program. Processes Drop/Add slips, DIS, preliminary exams, dissertation hours, defenses, deadlines, timelines, signatures, programs of study, and all other registrar and academically related matters.
Performs select EPLS departmental tasks, including but not limited to collecting syllabi each semester for all EPLS courses, and maintaining departmental syllabus archive. Supervises one graduate assistant assigned to program needs.
Qualifications
Bachelor’s degree and two years of professional experience; or a high school diploma/equivalent and six years of professional experience.
(Note: a combination of post-high school education and experience equal to six years in the same.)
Ability to interpret academic program requirements and provide advice.
Knowledge of university admissions processes.
Experience working with Microsoft Word, Outlook, and Excel.
Ability to prioritize and multitask in a detail-oriented environment.
Experience working in a professional office environment.
