Essential Job Duties:
The Program Coordinator provides assistance for routine functions and activities for the Medical Education Development (MED) Program, which is an intensive summer educational experience and challenging opportunity to gain insight into the realities of attending medical or dental school. In addition to limited budget and administrative duties, the Program Coordinator also coordinates academic and mentoring support to scholars at the direction of the Associate Director of the Office of Scholastic Enrichment and Equity (OSEE). Coordination includes, but is not limited to, scheduling academic skill development workshops and mentor and counseling sessions, as well as supervising program teaching assistants at the direction of the Associate Director.
With respect to MED Program:
• Assist the MED Program administrators and faculty
• Assist in the coordination of the application & interview process for students & TAs and serve as a point of contact for the MED Program.
• Assist in the preparation and dissemination of academic policies and procedures.
• Advise MED students regarding administrative procedures of the program.
• Serve as point of contact for prospective and current students regarding the MED program and program regulations, and admissions.
• Be the administrative link between the program and students
With respect to students:
• Handle day to day details (forms, processes, written communication) for student activities such as:
o Application
§ Process applications
§ Calculate GPAs for all completed applications
§ Prepare applications for review
§ Updating websites with deadlines & application information
§ Upload evaluations to AMCAS or other program platforms
With respect to MED faculty members:
• Assist with Canvas support & classroom tech support as needed
• Assist with the onboarding process of faculty
With respect to other stakeholders:
• Act as a liaison officer and know who to contact in Office of Scholastic Enrichment and Equity with regard to specific program issues
With respect to Technology:
• Maintains and develops the program social media content
• Will assist with development of program materials and publications, update website and social media sites, format and prepare correspondence, surveys, brochures, flyers, bulletins, reports, and other materials.
• Actively participates in the retention and recruitment of students through social media outlets
• Embraces appropriate technology tools to accomplish job functions.

Minimum Experience/Education:
The position requires a bachelor’s degree, with a strong preference for someone with at least 2-3 years of administrative experience with a similar type of pipeline program. An equivalent combination of experience and education will also be considered.

Core Competencies: Must be able to show demonstrated success in planning and coordinating program activities that increase the likelihood of first generation and low-income students seeking health professional degrees and enrolling into medical education programs; demonstrated commitment to educational opportunity; and demonstrated experience working with diverse student populations. Must have superior coordinating, written and oral communication skills; ability to communicate the overall vision and philosophy of the program; superior listening and critical thinking skills are necessary, as is the ability to multi-task.
Experience and efficiency with software such as:
o Efficient with Microsoft suite of office tools, including Excel, Word, Outlook, and OneDrive
o Experience preparing data and creating reports
o Ability to learn and adapt to new software systems used to administer program goals
o Familiarity with educational software used to administer courses, including Learning Management Systems such as Sakai, Canvas, 145 and Share Point (or willingness to learn)
o Familiarity with educational software used to administer educational programs, including Student Information Systems or survey systems (ex: Slate & Qualtrics) (or willingness to learn)
