Administer Math Circle academic year program, including project management, financial aid application workflow, evaluation, and distribution, instructor onboarding, oversee potential future development of in-person Math Circles or events. Act as an advising resource for instructors and teaching assistants regarding educational strategies and formats. Plan and execute instructor orientations. Develop and maintain training modules and support systems that enhance academic rigor and student experience. Provide insight and collaborate with interdepartmental teams to set instructors up for success.Oversee instructor communications for all Outreach Programs, streamlining onboarding communications. Respond to instructional queries in a timely manner, manage communications related to course delivery, support instructors in managing critical conversations with students of concern. Serve as the first point of contact for instructor and course assistant classroom management concerns during programs.Manage Outreach Programs execution of SmartSheets project management tool: assign tasks and track project progress, serving as a point of contact when multiple teams or units are assigned to the same project to ensure team actions remain in synergy. Support the DEOP with implementation of new software platforms to improve project management effectiveness.Collaborate regularly with the Director of Math Circles, and other program stakeholders, DEIBA Director and Director of Educational Outreach Programs on process improvement for program administration related to new initiatives and academic affairs. Collaborate with the Admissions team, Records and other departments to manage program enrollment/registration cycles, which includes testing and launching of online registration and/or applications.Manage contingent online TA and course assistant hiring , develop and execute orientations and training segments for TAs and course assistants, and supervise TAâs and course assistants during programs.Ensure compliance with University policies and procedures and applicable legal rules and regulations. Provide oversight for all academic policies and procedures, including the instructor handbook, protection of minors policies, collaborate with OHS staff and DEIBA Director on online student accommodations policies and process.Monitor budgetary spending related to online enrichment programs. Manage purchasing in collaboration with the Business Office and Finance, resolving issues, following up, and improving processes and efficiencies regarding supplies and shipping. Manage instructor supply budget and guest speaker budget for all Outreach Programs in collaboration with DEOP and Finance Manager. Regularly review payment records and report concerns to the DEOP and Finance Manager. Monitor routine financial transactions including approving and verifying purchases. Oversee Student Services Coordinatorâs management of instructor supply requests, reimbursement and honoraria for guest speakers; monitor purchase orders for expenditures. Serve as a point of contact with external vendors for program specific needs..Oversee academic evaluation with the support of Student Services Coordinator, analyzing and identifying areas for improvement. Work on a process of continual improvement to maintain academic excellence. Support DEOP with annual assessment of programs and courses; and collaborate with Records to produce and analyze reports to enhance course delivery, instructor experience and student experience.Support Outreach Programs DEI goals in collaboration with DEIBA Director by supporting instructors in SMSSP and by supporting new initiatives and programs. Remain abreast of international student issues and concerns and changing government regulations.Oversee a full time Student Services Coordinator team member, ensuring customer service goals are met.Recruit, train and supervise Program Assistants, Course Assistants, Teaching Assistants, and a full-time Student Services Coordinator team member.

The expected pay range for this position is $55,000 – $101,000 per year.
